Xograph Healthcare ltd, a Healthcare 21 Group Company (HC21), have implemented a range of contingency measures, procedures and processes to ensure that we are able to continue to provide the business functions required to effectively respond to National and NHS requirements during the COVID-19 outbreak.
Xograph implemented ISO27001 in the time when business continuity was a major part of the standard and as such robust plans were drawn up to cover hypothetical issues such as a pandemic impacting the business. We find ourselves in this surreal position where the plans for a hypothetical situation are being acted out live. However, the plans mean that structurally Xograph has been prepared by investment in technology both hardware and software to enable working practices to continue as normal to deliver excellent client service. Our business continuity plan continues and is continually reviewed being adapted as we are required to do so.
Key actions that we have taken include (but are not limited to):
- The segregation of our warehouse operations from the rest of our facilities to minimise the risk of cross-infection instances.
- The implementation of a ‘working from home’ environment for our administration and technical services personnel, whilst retaining unfettered access to all our company IT and telephony infrastructure.
- We are now implementing a controlled return to access to all of our facilities sharing responsibilities between the ‘home office’ and ‘workplace’
- The restriction of all non-essential visitors to all our offices, warehouse and other service facilities across the UK.
- Implementation of strict isolation procedures and support for any staff showing symptoms of COVID-19.
- Separation of key IT support staff to ensure IT systems’ security – Xograph has an established HSCN connection to the NHS allowing remote access to support Xograph equipment in the field.
- The implementation of strict personal preventative hygiene measures at all company sites
- The preparation of structured contingency procedures to ensure Xograph staff are available to backup any sickness for warehouse, logistics, customer service staff and other key areas of the business.
- The optimisation of planned preventative maintenance (PPM) visits to meet with the daily changing needs of our customers and to increase the readiness profile of our engineering staff to provide maximum availability to meet with urgent requests for service support.
- Preparing our clinical applications team to assist the NHS with equipment training requirements
- Working closely with Government departments to relocate Xograph equipment NHS sites and other healthcare institutions as directed.
Xograph as part of Healthcare 21 Group, is a major supplier of diagnostic imaging devices and associated consumables to the NHS, we are working closely with NHS Supply Chain and the Department of Health to ensure continuity of supply during this challenging period. We have significant stock holdings of critical spare parts and we are using our relationships with our key OEM partners to ensure continuity of supply.
Our customer service, technical service and sales force teams continue to remain fully available for any support required and can be contacted on the usual numbers and email addresses. Our principle engineering focus remains committed to ensuring that the uptime of systems in the field is as high as possible. Our decisions and planning are all centred on breakdown response/ system uptime and the installation of new imaging systems specifically those that can support the treatment of COVID-19 patients.
Clearly, the situation remains fluid and like everyone else within the NHS and wider healthcare community, we will continue to monitor and follow advice from Government and Public Health to ensure that we fulfil our obligations and responsibilities as seamlessly as possible despite the current disruption.
